About the Job

Title: Administrative Assistant
Department: Security and Emergency Management
Reports To: Executive Director, Security and Emergency Management

The Administrative Assistant provides essential support to the Security Department, Emergency Management, and EMS Coordinator to ensure optimal department operations. This role involves complex secretarial and administrative duties requiring comprehensive knowledge of departmental functions and systems. The position demands independent thinking, initiative, and collaborative teamwork.

What You’ll Do

  • Perform administrative tasks to support Security, Emergency Management, and EMS, including: Typing and editing policies, letters, reports, and meeting minutes. Preparing meeting materials (graphs, spreadsheets, presentations). Creating communication materials (brochures, newsletters, intranet content). Processing purchase orders and maintaining records. Scheduling meetings and managing calendars.

  • Answer calls, record messages, and respond to inquiries professionally.

  • Oversee Kronos timekeeping accuracy.

  • Assist with budgeting and supply ordering.

  • Maintain and operate access control software (ID badges, door access).

  • Administer parking policy database and contested ticket resolution.

  • Coordinate EMS continuing education courses and events.

  • Manage inventory and office supplies for Security and Emergency Management.

  • Prepare reports, memos, and presentations.

  • Perform other duties as assigned.

Who You Are / Requirements

  • Education: High School Diploma or equivalent (Associate’s degree in business administration preferred).

  • Experience: Minimum 2 years as an administrative assistant. Proficiency with Windows 365 suite (Word, Excel, Outlook, PowerPoint, Publisher), OneDrive, Teams, and Workday. Preferred: Experience with card access systems and ID badging.

  • Knowledge: Basic understanding of medical terminology.

  • Skills: Excellent verbal and written communication. Attention to detail and timely task completion. Strong customer service skills (preferred).

  • Abilities: Ability to manage and prioritize multiple tasks effectively.
